Re: [HSSG] Additional HSSG Meeting During July 2007 IEEE 802 Plenary Week

Steve,

I believe that there has been a misunderstanding.  The discussion in Geneva related to the fact that we could not call an interim meeting between then and the July Plenary to complete the PAR / 5c, and still meet the 30 day requirement for circulation of the documents to the 802 EC for approval at the July Plenary by the 802 EC.  Therefore, we would need 30 days for the interim meeting notice and then another 30 days for the circulation requirement, a total of 60 days.

As announced, the agenda for the meeting will be to discuss the HSSG goals for the Plenary week HSSG meeting.  This time will be used to expand upon what I have traditionally done at the beginning of each meeting in the agenda / general information, which typically takes 45 minutes.  Therefore, there will be no other time for presentations, which means I would not designate this time for hearing motions since there were presentations to be heard, which is the precedent that all of other meetings has been run by.  As far as strawpolls go, only strawpolls related to the discussion at that time would be deemed appropriate, and as chair I would be monitoring time availability to ensure adequate time for SG discussion.

John,

This seems like a really thin argument.

We were told in Geneva that the next meeting was in the IEEE plenary week. HSSG had a time slot allocated (Tu-Th AM) in the plenary week, and we were beyond the 30 day window to schedule anything prior to the week of the plenary, so it seemed like a perfectly reasonable assumption that it was safe to book travel (of course cheaper if this can be done at least 30 days ahead).

To wait until the last possible moment to announce this interim session seems inappropriate. Again, I do not object to ANY opportunity for informal discussion, since the more discussion we have, the better to make progress. But should such a session be used to push through some motions or straw polls that may not have passed the full group, this would not help for the trust situation in the group.
Regards,

Steve

Marcus / Steve,

While I understand and appreciate your viewpoint, the notice for the meeting does meet the 30 day notification requirement, as specified in “Operating Rules of IEEE Project 802 Working Group 802.3, CSMA/CD LANs.”

Steve, John,

I had the exact same thoughts when this email with the announcement
of this "interim meeting" was sent around. I had made travel plans long
time ago, including flight and hotel booking. I would like to participate
in the Monday morning meeting, if there is any, but I don't know whether
I will be available to find an earlier flight, change my ticket, and find another
hotel for that one night.

I find this short-term announcement of another important meeting
not acceptable.

Marcus

John,

For myself, I received this email two days after booking my flight to arrive Monday morning in SFO and having booked the meeting hotel beginning from Monday night.

The information about this meeting session was not presented during the previous meeting in Geneva, and was not distributed until we had the information that the meeting hotel is now sold out, so even if I were to spend the money to change my flight, it is not certain that I could add Sunday night to my hotel booking.

There is a lot to do, so I certainly do not object to trying to use the 90 minute slot for informal discussions to try to figure out how to make progress. But I do have an objection to calling it an interim meeting of HSSG. I would request that you refrain from conducting any motions or straw polls as a part of this session so as not to exclude those who have already booked their travel from the decision process.

Regards,

Steve

All,

The HSSG will be having an interim meeting adjacent to and co-located with the IEEE 802 plenary meeting in July.  (Plenary information may be found at http://ieee802.facetoface-events.com/sessions/44/files/announcement.pdf).

We will be getting together Monday, July 16, 2007 from 9 to 10:30am prior to the July IEEE 802 opening plenary.  The agenda for the meeting will be to discuss the HSSG goals for the Plenary week HSSG meeting. At this time I have been informed that the meeting room will be Pacific Concourse JK, but it would be advisable to double check.

Please make your travel arrangements accordingly.

Best Regards,

John D’Ambrosia
