Re: [802SEC] Motion re: nNA venues for 2011 and 2012



Hi Pat,  July 2012 in San Diego is locked-in and a good thing too, the
Group prices there recently went up by $90/night, and they are turning
away business at those rates.  A good friend of mine in the San Diego
Convention & Visitor's Bureau recently told me that the deal we have at
the Grand Hyatt San Diego probably qualifies as the "deal of the
century" given current pricing.  So booking ahead got us that option.  

In order to even do San Francisco now we need ALL of their guestrooms
and ALL of their meeting space plus a good block of overflow rooms
because we always get record attendance there.  We actually tried your
suggestion of booking fewer rooms for July 2007 and many attendees were
going nuts because they couldn't find anything in downtown SF under
$350/night.  So we need to have rooms with guaranteed rates blocked this
far in advance to even have a shot.  Because we are such good clients
HR-SF has agreed to hold our slot for us at the quoted prices if we can
sign the contract before the end of 2007; if we don't, we get a reset
and the price will go up as other groups jockey to steal our slot.  We
are good customers but we cannot expect HR-SF to hold space for months
when there are many more lucrative opportunities out there shopping.  If
we were willing the choose unpopular hotels such as the Hyatt at DFW
airport again, we could afford to wait.  For super-popular venues such
as San Diego, San Francisco, New Orleans, Denver, and San Antonio you
either book the deal or you lose it.  

May I suggest that most College/University campuses plan major events
4-5 years out so looking for an option for July 2013 would be about
right for getting access to major classroom space and housing both.
That's what we did for the University of Twente and it worked out
perfectly because we got all our needs taken care of before any other
events/conferences were competing for the resources.  Once again I have
to remind you about hunting in a target poor environment: what few
resources are available get snapped up quickly and if we wait to shop
late in the game, we will be looking at making some severe compromises
in order to secure a venue.  If we plan far enough ahead we will get
some good options.  July 2013 is not at all unreasonable to secure a
campus-wide venue.

Is July 2012 locked in? On July 2011, can we wait until July this year
to do the selection? 

To have open up the possibility of a university campus venue for nNA, we
would need an available July meeting slot.

Matt & Carl,  I would suggest you guys use the week that Paul has given
us to at least get your facts straight before attempting any more
motions.  The deals that have been worked up for SEC consideration are
July 2011 and November 2012 as shown on the attached schedule.  This
schedule clearly shows both the March 2011 and the March 2012 as
reserved for nNA plenaries (and will continue to do so until we have
those in place or we all agree to change our plan).  It also shows that
2013 is wide open so we will have additional options there.  I will also
note that the November 2012 deals include two options for Hawaiian
venues which our members indicated in the survey by Y-381 (70%) to N-167
(30%) they considered an acceptable alternative to a nNA venue.  So
that's a chance to go 1 up.  

In a week's time I expect to have all the data for the 2 NA site
selections ready for distribution to the EC for review and discussion
and then we can consider individual motions for those.  I can promise
you that if we get these two choices completed now we will be able to
devote 100% full-time to following Roger's plan for securing "viable &
affordable" (whatever that means) nNA venues for March 2011 & March
2012. So let's all cooperate here just a bit to get us to where we all
want to be.  

And if you two can follow Tony's suggestion to actually pitch-in and
help-out, so much the better !!!

Yes, you have it right and I will second the motion, but based on his
inputs to the reflector, I do not think Paul is willing to entertain it.
It is his prerogative what business is brought to the 'virtual' floor.

I would accept the following change to my original motion:

Moved: That 802 sign no contracts for NA plenary venues beyond 2011
until we
have viable, affordable nNA venues in place for March 2011 and 2012.

That will give Buzz the flexibility to book July and Nov 2011 (for which
he
apparently has deals in the works, if I understand Mat's comment
correctly),
but require us to focus remaining energy in the near term to finding nNA
venues for March 2011 and a 2012 plenary, which could be any of the
three.

Mat, do I have it right and do you second the ammended motion above?
