[IEEE P-1788] : Request to consent to broadcast in-person meeting
P-1788 (and Sergey FYI),
As you have been informed, our in-person meeting will take place
on September 28 at Akademgorodok (near Novosibirsk), and
Sergey Shary has offered to broadcast the meeting in real time
over the internet. To comply with IEEE rules, we must
obtain the consent of all participants. (Please see
the appended communication.) I herewith request this consent.
I will be monitoring the stds-1788 list, as well as my
personal email address, over the next week for any objections.
If I receive none, I will assume everyone so consents.
I will also ask Sergey about the possibility of calling
in to participate during the meeting.
Best regards,
Baker

Dear Baker,
Regarding your inquiry, broadcasting the meeting is allowed
only if all of the following requirements are met:
1- All the meeting participants consent to broadcasting the meeting.
(You may inform the WG members and other known potential attendees
and secure consent from all before the meeting)
2 - If viewers of the broadcast will be able to
interact/communicate with meeting participants in real
time via voice, chat ,or other methods, you must have a
mechanism to capture the viewers' names and affiliations
and record such in the meeting minutes.
3 - It is preferred that you be able to identify all viewers,
but if viewers will only be able to listen/view the
meeting you don't need to capture name and affiliation.
Good luck with the meeting.
Best regards,

Subject: Web broadcast of P-1788 meeting permitted?

Bob, Malia, George (and Nathalie, Сергей FYI),
P-1788 is holding our annual in-person meeting at SCAN 2012
in Akademgorodok (near Novosibirsk) on Friday, September 28 in the afternoon,
local time. Due to extensive en-route times, scheduling,
and cost, some of us, especially those in the United States,
are unable to be there in person. Sergey Shary, the local
host and a major scientific organizer, has offered his institute's
capabilities to broadcast the meeting publicly on the web
in real time.
Nathalie and I were wondering if that is permitted
under IEEE SA rules.
Sincerely,
Baker
